Archived Chrome River Release Notes December 14, 2022 New Feature Available ADMIN Introducing the UI Rules Admin Screen Administrators may now view details about your organization’s User-Interface Rules via the new UI Rules Admin Screen. This will give you complete insight into exactly which UI rules affect line item and header form behaviors and what the rules are doing. Currently this screen is read only. In future releases we will add the ability to create and edit UI rules. Although the screen currently lists every rule, at this time we support visualization of about 80% of UI rules. Rules that are not yet able to be visualized will show the message “This UI rule is not supported in the UI Rule Editor at this time.” In order to take advantage of this enhancement, an administrator will need to activate it via the Access Permissions Admin Screen. Select the appropriate policy and, under UI Rules, check “Show In Admin Menu.” Enhancement IMAGING Sealed Image Retrieval Limit Increased to 4,000 Reports For customers who take advantage of the Emburse Digital Archiving Service (EDAS), we have increased the allowed number of reports with sealed images that may be requested from 150 to 4,000 at a time via the Request Digital Receipts admin screen. November 30, 2022 Enhancements EMBURSE ANALYTICS PRO New Fields Added to Explores for Credit Card Transactions Users may now create Looks with the following credit card transaction-related fields: Merchant Category Code, Merchant ID, Post Date (the date the credit card issuer posts a transaction and adds it to the cardholder’s balance), and Card Number Last Four (last four digits of the card number used for the transaction). New “Feed Provider” Field Added to Expense Reporting Views We have added a Feed Provider field to expense reporting views that will name the integration provider from which a transaction was sourced. This will be especially useful for customers using such integrations as TripLog and Amazon Business. Resolved Issue ADMIN Message of the Day Updates We have resolved an issue that prevented some customers from updating the Message of the Day. November 16, 2022 Enhancements EXPENSE APPROVAL Accessibility Enhancement for Report Searches We have enhanced keyboard navigation and screen-reader support for report searches on the Approval Dashboard. ADMIN Expense Approved Amounts Now Available Via APIs Chrome River’s /v1/expense-report-approvals/{reportId} and /v3/expense-reports/{reportId}/line-items APIs will now pass the Approved Amount at the allocation level. For example, if an expense was split between two allocations and the approver adjusted the line-item amount, the new amounts for both allocations will be passed by the API. CZK Currency Now Supported By Wise Emburse Global Reimbursements customers may now use our Wise integration to process payments in CZK currency. Export Builder Highlights and Warning Messages Export Builder has been enhanced to provide highlighting and warning messages when defining rows. Now, certain combinations of row frequency and primary objects or attributes that could potentially result in unexpected output will be highlighted. Note that these warning messages are for informational purposes only and will not change the configuration or prevent it from being saved. DIRECT PAY Bank Account Reimbursements Screen Enhanced for DIRECT Corpay (Global Exchange) Customers For Direct Pay Corpay (Global Exchange) customers, we have enhanced our Bank Account – Reimbursements screen within the Personal Settings tab of the user Account Settings to improve alignment with current and future reimbursement compliance requirements. Users who are entering their banking information for the first time or updating existing banking information will now see the enhanced screen. Please note that the new screen does require users to re-enter all banking information. Currently, users who already have banking information in our system will not be required to update their information. However, beginning in January 2023, this will be a requirement for expense submission. November 2, 2022 Enhancements EMBURSE ANALYTICS PRO New Failed/Filtered Transactions Reference Reporting Model We have introduced a new Reference reporting model called “Failed/Filtered Transactions (Staged)” to enable ad-hoc reporting against failed transactions. The model includes a full list of fields for the related Transaction Owner (if defined). EMBURSE CONNECT Per Diem Location Fields Added to Views We have added the following fields to existing views in the ExpenseLinePerDiem folder to make analysis easier: PerDiemLocationCountry, PerDiemLocationCountryName, PerDiemLocationState, and PerDiemLocationCity. October 19, 2022 Enhancements EXPENSE APPROVAL Enhanced Adjustment Capabilities for Expense Approvers Beginning today and continuing over several weeks, we will be rolling out extended expense-approval adjustment capabilities in the Production environment. In addition to editing the Approved Amount, Business Purpose, Allocation and Tax fields, expense approvers will now be able to adjust the Date, Description, and any user-defined fields (UDAs). In order to take advantage of this enhancement when it is available to your organization, an admin will need to activate it via the Access Permissions admin screen. Select the appropriate policy and, under Expense Approvals, check “Allow adjust on Description, Date & User Defined Attributes during approval.” For complete details, see "Enable Enhanced Adjustment Capabilities for Expense Approvers" in the Access Permissions Admin Screen article in the Chrome River Help Center. INVOICE Introducing Invoice OCR Vision Email Identifiers and Group Routing OCR Vision customers who use the Invoice OCR auto-submit feature may now add an identifier to Invoice OCR email addresses and apply business logic to specify whether automatically created invoices should be routed to an individual or to a group for approval. Admins may specify these via the new OCR Email Configuration section in the Invoice OCR Vision tab on the Customer Preferences Admin screen. Click the blue plus button to create a new OCR email configuration. Use the Email Address Identifier field to add an alphanumeric word or code (e.g., a region or an approval group name) that will appear in the email address, making it easy to identify where the emails sent to that address are automatically being routed. You may then assign the address to a specific user or to a group/role based on entities. For complete details, see the “Invoice – OCR Vision” section of Customer Preferences in the Help Center. ADMINISTRATION Pre-Approval Added to Forms Admin Screen Customers may now use the Forms admin screen to edit the line-item and common forms that collect information when users create or edit pre-approvals. The Forms admin screen allows your organization to customize the types of data captured by forms by adding and removing standard fields, user-defined data (UDAs) and rules. You may also choose to prevent users from altering the value of a field, require users to enter data in certain fields, hide fields, and customize the tooltip that appears when users hover over a field. If your organization is interested in taking advantage of this enhancement, an admin will need to enable “Read Pre-Approval Forms” and “Edit Pre-Approval Forms” on the Access Permissions Admin Screen. October 5, 2022 Upcoming Change EXPENSE APPROVAL Introducing Enhanced Adjustment Capabilities for Expense Approvers Chrome River will soon offer extended adjustment capabilities for expense approvers. In addition to editing the Approved Amount, Business Purpose, Allocation and certain user-defined fields (UDAs), expense approvers will now be able to adjust the Date, Description, and any UDA. After adjustment, the system will automatically rerun UI, Compliance and Location-on-Select rules based on the attributes of the expense owner to ensure compliance. In a future release, we will add the ability to view adjustments in Analytics reports. This enhancement has been released to the QA Environment for all customers. Please take this opportunity to test it out and provide any feedback via the Chrome River Help Desk. Beginning on October 12, this enhancement will be made available to customers in the Production Environment in batches over a period of several weeks. In order to take advantage of this enhancement when it is available to your organization, you will need to activate it via the Access Permissions Admin Screen. This allows you to control access at the user level by turning on the feature for all approvers, just a specific group of approvers, or multiple groups of approvers. Select the appropriate policy and, under Expense Approvals, check “Allow adjust on Description, Date & User Defined Attributes during approval.” Enhancements USER INTERFACE Accessibility Enhancements for Receipt Gallery We have enhanced keyboard navigation and screen-reader support for the “Add to Report” feature that allows users to add selected receipts to a report directly from the Receipt Gallery. Users may now click ENTER on the “+ Create a New Expense Report” button or on an existing draft report to either open a new report or create a new line item on an existing report. EXPENSE ENTRY International Credit Card Transactions Included in Dashboard Count Customers who take advantage of our International Credit Card feed will now see these transactions included in the count of Unused Credit Card Items on the Dashboard. When users click the count, they will be taken to either the Credit Card tab or the International Credit Card tab of the eWallet, based on the type of the first transaction in the list. IMAGING XML Data Integrity Check for Sealed Images For countries where the Emburse Digital Archiving Service is required to capture individual line-item data as XML and seal it along with the corresponding receipt (currently only Spain), we will now display an XML Integrity Check button on the Request Digital Receipts admin screen when reports containing XML data are selected. This allows users to validate whether changes have been made to expense data since it was sealed. Each report will be noted with either a green circle indicating Integrity Success or a red exclamation point indicating Integrity Error, with a message describing the results. GOODS RECEIPT Goods Receipt Line Assignment on Invoice Goods Receipt customers who use three-way matching and an ERP that requires a specific relationship from Goods Receipt Line to Invoice Line may now reconcile goods receipt data on the invoice line level by assigning any goods receipt line that is associated with an attached purchase order to an Invoice line via the new Receipt Line Mapping drop-down. EMBURSE ANALYTICS PRO New “Failed/Filtered Transactions (Staged)” Reference Model We have introduced a new Reference reporting model called “Failed / Filtered Transactions (Staged)” to enable ad-hoc reporting against failed transactions. For customers who have this feature activated, the currently appears when users first log in to Chrome River and is accessible via the LAUNCH WALKTHROUGHS link in the User menu. This functionality has been replaced by the enhanced product walkthroughs available in Emburse Assistant, under User Guides. Enhancements EXPENSE ENTRY Accessibility Enhancements for Compliance Warnings and Violations We have enhanced keyboard navigation and screen-reader support for compliance warnings and violations in Chrome River Expense. EMBURSE ANALYTICS PRO Expense Export API Status Added to Reporting Models For customers using External Export API for Expense exports, we have extended the reporting models to include transfer status of the export details. In the Expense model (e.g., Header/Line/Allocation), we have added a new Expense Line Export API Status folder. This contains fields with the API retrieval status. ADMINISTRATION New Common Forms Added to Forms Admin Screen We have enhanced the Forms admin screen to allow users to view and edit Expense Global UDAs, Per Diem Expense UDAs, Recurring Lodging, and Recurring Non-Lodging common forms that collect information when users create or edit expense reports. Expense Global UDAs allow your organization to add user-defined data fields that will appear on every line item form that has the Expense Global UDAs system field added to it. For example, your organization could create a “Vendor” Global UDA that captures vendor information on each line item users add. Per Diem Expense UDAs allow you to add user-defined data fields to all per diem line-item forms. For example, your organization could add a “Merchant City” field to capture location info on every per diem line item. If your organization takes advantage of this feature for such itemized expense types as Hotel and Car Rental, you may customize the Recurring Lodging and Recurring Non-Lodging forms that allow users to easily enter expenses that occur on multiple days during a trip, like daily WiFi charges or room tax. Resolved Issues EXPENSE Missing Values and Fields on ACT Fibernet PDF Receipts We have resolved an issue that prevented some values and fields from appearing when users uploaded PDF receipts from ACT Fibernet. ANALYTICS Duplicate Lines in Ad Hoc and Standard Reports We have corrected an error that caused duplicate lines to appear in Chrome River ANALYTICS reports when a UDA was added as a report column. Enhancement EMBURSE ANALYTICS New Vacation Delegate Standard Report We have added a new standard report to Emburse Analytics that tracks all vacation delegations. By default, the report will display all active vacation delegates, but users may adjust the filters to report on edge cases (e.g., the expense owner or the delegate is no longer active). August 24, 2022 Upcoming Change ADMIN Upcoming FTP Site Changes We will be upgrading our FTP file retention policy effective September 1, 2022. Beginning on this date, any files on the QA or Production FTP sites that are older than 90 days will be deleted each night. This will include feed files and export files, as well as any miscellaneous files on the FTP site. Please take proactive measures to archive any critical files from your customer FTP directories before this date. New Feature Available APIs New SendEmail Option for Export Status REST API The Export Status REST API for Expense and Invoice has been enhanced to allow customers to specify that error statuses be collected and emailed to an administrator at a specified interval. The administrator's email address may be specified on the Notifications admin screen. If you are interested in having this enhancement configured, please submit a case via the Chrome River Help Desk. Enhancements EXPENSE APPROVAL Accessibility Enhancements for Approval of Expenses and Pre-Approvals We have enhanced screen-reader support for the Approval lists in Chrome River Expense and Pre-Approval. IMAGING Digital Receipt Archiving Enhancements and Support for Spain The Emburse Digital Archiving Service, which currently supports France and Japan, now supports Spain as well. For customers who would like to go paperless in compliance with Spanish regulations on digital receipts, we now offer the ability to capture receipts in Chrome River that will be electronically time-stamped and archived in accordance with Spain’s regulations. This eliminates the need to keep a hard copy of the receipt for tax or other purposes. Additionally, we will now capture individual line-item data as XML and seal it along with the corresponding receipt. (Note that France and Japan do not require this feature, so it is currently only available for Spain.) The Request Digital Receipts admin screen will now indicate which line items have XML data and include it in the ZIP files generated. Those files will contain a folder for each report, inside of which will be folders for each line item containing the receipt and any related XML data. PURCHASE ORDER Vendor Email Address Required for Catalog Punchout Customers who take advantage of our Catalog Punchout feature for Purchase Order will now be required to enter the vendor’s email address and parent tax code in the vendor address record in order to use Catalog Punchout with that vendor. ADMINISTRATION Corporate Card Management Screen Enhancement We have enhanced the Corporate Card Management screen to increase the loading speed for customers with large numbers of cards. Now, only the first 5,000 results will be displayed until admins scroll down to load more cards in increments of 5,000. Add Hyperlink to Expense Submit Compliance Rule Messages As an enhancement to our previously released feature for Expense Compliance Rules, customers may now add a button to their Expense Submit Compliance rule messages to allow users to access further details about the rule via a customer-provided URL—for example, an internal web page that documents company travel policies. The URL and Button Label may be entered when creating a new Expense Submit Compliance rule via the Rule Builder, or they may be added to an existing Expense Submit Compliance rule via the Rule Messages admin screen. Invoice Payments Added to Export Builder Admin The Export Builder admin screen now allows B2B Invoice Payment customers to easily create and update a file specification for an Invoice Payment Reconciliation export. When an Invoice Payment spec is defined and activated, an Invoice Payment Reconciliation file will be generated and placed on the customer's SFTP site whenever a B2B payment confirmation is received. August 10, 2022 Enhancements EXPENSE ENTRY Accessibility Enhancements for Receipt Thumbnail Images We have enhanced screen-reader support for receipt thumbnail images on the Expense Draft, Returned, Submitted, and Approvals dashboards for the report list preview and summary, as well as inside opened reports. Health Care Provider Search Enhancement For customers who take advantage of our Health Care Provider search integration for guest expenses, we have changed “State of License” to an optional field, allowing users to quickly search based on other criteria. EXPENSE MANAGEMENT View and Filter Reports of All Statuses Users will now be able to view expense reports of all statuses on the Expense Management Dashboard, including the report header, line items and any attachments. We have also introduced the ability to filter reports based on status via the new ADVANCED SEARCH button. PRE-APPROVAL Accessibility Enhancements to Apply Pre-Approval Screen We have enhanced the Apply Pre-Approval screen to make it accessible to users of screen readers, allowing them to easily navigate through all the functions, hear the Original Amount and Remaining Amount, and close the screen. CHROME RIVER ANALYTICS Filter Expense and Invoice Standard Reports by Departed Employee We have added columns and filters to several Expense and Invoice standard reports to allow users to easily filter by employees who are no longer with the company. To the Expense Credit Card Reconciliation standard report we have added a Transaction Owner Status column and filter. To the Pre-Approval Open Approvals standard report we have added a Pre-Approval Owner Status column and filter. Additionally, we have added an Assigned to Person Status column and filter to the Invoice Accrual/Unexported Invoices and Invoice Open Approvals standard reports. EMBURSE ANALYTICS PRO Additional Distance/Mileage-related Fields Available We have added a series of distance/mileage-related fields for ad-hoc reporting in Emburse Analytics Pro. The new fields will indicate whether the distance was in miles or kilometers (Distance Unit); the distance calculated by the Maps widget (Distance Calculated); the total distance traveled (Distance Total); and the net distance, excluding any personal adjustments (Distance Net). Introducing the Combined Spend Dashboard We have introduced a new Emburse Analytics Pro dashboard showing total combined spend, including exported data for both Expense and Invoice modules, to give you a clearer summary view of the total spend being processed through Chrome River. The dashboard is available in the following folder: All > Emburse Analytics Pro > Chrome River > Combined Spend (Expense/Invoice). ADMINISTRATION "Card Request Number of Days” Attribute Added to Rule Builder For customers who use our Rule Builder for Pre-Approval Submit Compliance rules, we have added a new "Card Request Number of Days" attribute. This can be used to create Pre-Approval Submit Compliance rules based on the active number of days for a requested Emburse Card. Resolved Issue EXPENSE Line Item Export Issue We have resolved an issue that prevented some line items from being exported under certain circumstances. July 27, 2022 Enhancements EXPENSE ENTRY Accessibility Enhancements to Lodging Per Diem We have enhanced the Lodging Per Diem entry screen to make it accessible to users of screen readers, allowing them to easily calculate the allowable total. ADMINISTRATION Introducing Mosaic Automation Customers who have been implemented with the Mosaic Wizard may now take advantage of Mosaic Automation to bulk-update mosaics generated from templates. This allows admins to easily make changes to large numbers of mosaics simply by checking or unchecking boxes in the Tile Grid, accessed via the new TABLE VIEW button. Changes are highlighted in blue, allowing admins to easily review them before clicking UPDATE MOSAIC. Resolved Issues EXPENSE MANAGEMENT Viewing Line Item Receipts on Expense Management Dashboard We have resolved an issue that prevented users from viewing line-item receipts on the Expense Management Dashboard when they were not the expense owner. ADMINISTRATION Reassigning Returned Items Via Report Tracking We have corrected an error that prevented administrators from reassigning line items via the Report Tracking admin screen under certain circumstances. July 13, 2022 Enhancements EXPENSE APPROVAL Enhancements to Tax 2.0 In this release we will introduce an update to Tax 2.0, Emburse Chrome River's enhanced tax engine. Tax 2.0 allows tax approvers to confirm or edit tax allocations and finalize them before the report is approved. The enhancement will allow the tax approver to see and edit the Net Amount, in addition to the Tax Amount, while the Gross Amount will be displayed as a simple visual calculation. Additionally, if the amounts are edited, the edited amounts will automatically be reflected in the export. This feature will include a total-tax-allocation validation that is intended to ensure the tax is fully allocated. However, due to the complexity of some rules, we will have turned off this validation for certain expenses. This will still allow tax approvers to edit the Tax and Net Amounts, but they will need to manually ensure the tax allocations on the expense are correct. In cases where customers use a zero-rate tax code and tax approvers want to reallocate some amount of the expense to that zero rate, they no longer need to return the expense to the expense owner for reallocation. This can now be done right in the Tax section by reallocating to the Net Amount of the zero rate. Note that some Tax 2.0 customers may not see these enhancements immediately. If affected, your organization will be notified of the reason. ADMINISTRATION New Rule Builder Configuration Report for Pre-Approval Submit Compliance Rules Administrators who use the Rule Builder may now download an Excel file snapshot of their live Pre-Approval Submit Compliance rules. The spreadsheet lists all the details of each rule, including Rule Name, Rule Number, Rank, Actions, Messages, Conditions and any Short and Long Descriptions. Note that the DOWNLOAD button for this report only appears when you are in a live changeset. INVOICE Added to UDA Admin Screen Administrators may now create and edit User Defined Attributes (UDAs) for Invoice via the UDA Admin screen. Additionally, it is now possible to create different labels for a UDA when it is used in Expense and Invoice. And we’ve added a new “Searchable (Invoice)” checkbox that allows an Entity UDA to be searchable when used for Invoice. Resolved Issues EXPENSE APPROVAL Approval Email Amount Display We have resolved an issue that caused amounts to display incorrectly in approval emails when the report contained Personal line items with different currencies. ADMINISTRATION Retrieve OCR Email Address Via Customer Preferences We have corrected an error that prevented some customers from retrieving the OCR email address via the Customer Preferences admin screen. June 29, 2022 Enhancements MOBILE APP Introducing Biometrics for SSO Users The Chrome River Mobile App now supports the use of biometrics for users who log in via SSO, offering them the same easy login experience previously available only to non-SSO users. All users may now store their passwords securely in the app and use biometrics to quickly login. Note that this functionality does not change or replace customers’ SSO authentication, but it does make it easier for users to populate their login credentials. It also does not change any additional security requirements of customers’ SSO (e.g., multifactor authentication using an authenticator or verification code). This enhancement will begin rolling out to customers today but may take up to seven days to reach all users who have “auto update” enabled. Users may manually update now to receive this enhancement. Simply log into the Apple or Google app store and click the UPDATE button on the Chrome River app page. EMBURSE CARDS Introducing Merchant Restrictions for Emburse Card Spend Control Customers who take advantage of Emburse Cards may now control which expense types the cards may be used for, based on Merchant Category. Admins simply access the expense type on the Pre-Aproval Item Type admin screen and use the drop-down menu in the Credit Card Transactions section to map a Merchant Category Code to that expense type. When a card request has been approved, users will only be able to use the card for expenses that fall within that Merchant Categories. Note that restrictions apply to the entire pre-approval rather than amounts for individual line items. At this time, only cards issued by Emburse Cards may be Merchant Category restricted. For details, see Pre-Approval Item Type Admin Screen. EMBURSE ANALYTICS PRO New Travel Spend Drill-Through Dashboard Emburse Analytics users may now get a more detailed analysis of data on the Travel Expense Overview dashboard by drilling into the new Travel Expense Spend Drill-Through dashboard. When users right-click on the amount in one of the spend-type tiles and select the new dashboard, the Expense Owner, Owners Reports To, and Spend Type (e.g., air, ground, hotel or meals) will be passed as filters to the new dashboard, which will open in a new browser window. Introducing Forecasts for Visualizations Emburse Analytics Pro users may now easily add forecasts to visualizations via the Visualization Editor. This allows analysts to quickly add data projections to new or existing visualizations in order to predict and monitor specific data points. The feature’s AutoRegressive Integrated Moving Average (ARIMA) algorithm automatically creates the projected values and is supported on many types of visualizations, including column, bar, scatterplot, and area visualizations. ADMINISTRATION Edit Pre-Approval Tiles and Mosaics via Admin Screen Our Mosaics & Tiles Admin screen now allows creation and editing of tiles and mosaics for Pre-Approval. Admins simply select Pre-Approval from the Application drop-down before choosing whether to edit tiles or mosaics. Admins with appropriate permissions may activate this feature by navigating to SECURITY > ACCESS PERMISSIONS and checking the appropriate actions under “Mosaics & Tiles.” Enable PO Catalog Product Via Customer Preferences Administrators may now activate our Catalog Product feature for Purchase Order via the new “Enable Catalog Product” check box in the Purchase Order section of the Customer Preferences admin screen. Shipping Expense Type for PO Catalog Punchout Moved to Customer Preferences For customers who take advantage of our Catalog Punchout feature for Purchase Order, the Shipping Expense Type selector has been moved to the new Purchase Order section of the Customer Preferences admin screen. Resolved Issues STATEMENTS US Bank FeedTransactionUniqueID Error We have corrected an error that occurred when US Bank feeds contained a refund with the same FeedTransactionUniqueID as the corresponding purchase. EMBURSE ANALYTICS Loading Folder Content We have resolved an issue that prevented Emburse Analytics from loading folder content for some customers. June 16, 2022 Enhancements ADMINISTRATION Edit Expense Header and Additional Info via Forms Admin Screen We have enhanced the Forms admin screen to allow users to view and edit the Header and Additional Info forms that collect information when users create or edit expense reports. The Header form is what users see when they select an existing expense report or create a new one. For customers who have configured the Additional Info form, it appears below the Line Item form after users save a line item. For example, your organization may require users to add tax receipt information in an Additional Info section. The Form Listing also now indicates the type of form: Line Item or Common. Line Item forms are those associated with a tile within a mosaic. Expense Header and Additional Info, which are never assigned at the tile level, are labeled Common. A new Type sorting option is available at the top of the Form list so that Administrators can more quickly locate the form they wish to update. Enhancements to Request Digital Receipts Admin We have made several performance enhancements to the regular Image Retrieval and the Sealed Image Retrieval capabilities of the Request Digital Receipts admin screen. We will now limit searches to a maximum of 500 results. This will prevent searches from taking so long that they fail to complete. By default, the results will now be sorted by Submit Date in ascending order. Users may refine their search filters to be more specific or sort the search results they get back by the various column headers. This will cause the system to re-fetch the first 500 results, potentially returning a completely different set of 500 results. Note that these changes do not affect XML or OFD image retrieval. EMBURSE ANALYTICS PRO Approval/Vacation Delegates Added to Person Reporting Model We have added Approval/Vacation delegate details to the Person reporting model in Emburse Analytics Pro. Users can easily monitor the details of delegations, including start and end dates, duration, and delegate names. Resolved Issues INVOICE Copy Prior Invoice with String UDA Data We have resolved an issue that prevented some prior invoices from copying if they contained an empty UDA (User-Defined Attribute) field on the invoice line. PURCHASE ORDER PO Management Search Filters We have corrected an error that prevented users from navigating the Advanced Search panel via the section filters. June 2, 2022 New Features Available PURCHASE ORDER Introducing Catalog Punchout and Catalog Product Chrome River PURCHASE ORDER customers may now take advantage of two new catalog features that make creating purchase orders even easier. Catalog Punchout allows users to add line items to a purchase order by shopping directly from the vendor's eCatalog. Chrome River will bring the cart information back to the PO upon checkout. Once the PO is approved, it will be sent to the vendor automatically. For complete details, see Add PO Line Items via Vendor Websites with Catalog Punchout in the Chrome River Help Center. The Catalog Product feature allows your organization to create and maintain its own catalog of items from multiple vendors. This allows your users to browse through a list of pre-approved items and create a purchase order with them. Automatically Link eInvoices with Purchase Orders For customers who take advantage of our eInvoice feature, certain purchase order data can now be automatically copied into invoices created via eInvoice. The resulting invoice will contain the PO’s header information and allocations, but the Invoice Line Quantity, Unit Price, and Line Amount will be copied from the eInvoice. Note that eInvoices must have a VendorItemID on each line item in order for the system to locate the matching PO. EMBURSE AUDIT Selective Rerouting for Emburse Audit Customers who take advantage of Emburse Audit may now choose to turn off “Full Rerouting” for expenses that have been adjusted or returned. Rather than sending the expense back to everyone in the approval routing flow, the expense will be selectively rerouted to only the RISK Autobot, the Human Auditor, and the approver who adjusted or returned the expense. Enhancements INVOICE APPROVAL Approver-Specific Line Items Highlighted on Invoice in UI Invoice approvers will now see an assignment icon on the specific line items that require their approval when viewing an invoice inside Chrome River. They may also sort the list of line items by Assignment, making it easy to find and approve only the relevant lines of invoices with multiple allocations. PURCHASE ORDER Resize Purchase Order Management Columns We have enhanced the Purchase Order Management Dashboard with resizable columns similar to those on the Invoice Management Dashboard. EMBURSE ANALYTICS Field Descriptions Added to Looks for Creators We have introduced field descriptions to help Emburse Analytics Creator users better understand which fields to use in their queries when editing a look. Resolved Issues IMAGING Display of Receipt Images in Full Report With Receipts PDF We have corrected an error that prevented some receipt images from displaying correctly when users selected the “Full Report with Receipts” PDF option on an expense report. INVOICE Editing Saved Searches in Invoice Management We have resolved an issue that prevented some Invoice Management Dashboard users from editing their saved searches containing entity filters. Invoice Vendor Address Selection We have corrected an error that occurred when users selected a vendor address and required them to click multiple times before the address search box closed. May 18, 2022 New Feature Available EXPENSE MANAGEMENT Control Expense Management Dashboard Access to Reports via Rules Customers may now use rules to determine which expense reports may be viewed by Expense Management Dashboard users, based on the roles and entities assigned via the People admin screen. For example, your organization may choose to limit a user to viewing only reports by expense owners who are part of the same office. If users’ search results return a report to which they have no access, an error message will indicate that access is required to view it. Enhancements USER INTERFACE Enhancement to Help Center Access To prepare for an upcoming enhancement to Emburse Assistant, the Help question mark in the upper right corner of the Dashboard will now open a menu containing a link to the Help Center and, for users with administrator permissions, targeted announcements. In a future release we will introduce in-app user guides, including walkthroughs and helpful tips. eWallet Accessibility Enhancement for Screen Readers We have enhanced keyboard and screen-reader navigation to allow users to add eWallet transactions to new or existing expense reports, including the ability to select such options as the ALL/MERGED toggle. ADMINISTRATION New Supported Currencies for Global Reimbursements For customers who take advantage of Emburse’s Global Reimbursements feature, we now support MYR, ZAR, ILS, MAD, CLP, PEN, and HUF as pay-in currencies and HUF as a pay-from currency. View Global Reimbursement Payment Group Beneficiary Details Administrators may now view the details for each beneficiary of a payment group on the Reimbursements admin screen. This will allow admins to see at a glance the status of each recipient’s payment, including any pending or returned payments. Require Value Greater Than Zero for Number and Currency UDAs Administrators may now use the Forms admin screen to add restrictions to Number and Currency user-defined fields (UDAs) in order to require users to enter a value greater than zero. Simply check the “Value must be greater than zero” box in the Restrictions section for the desired UDA. Users will see a red outline and warning on the form if they attempt to enter a value less than zero. Resolved Issues MOBILE SSO Access to Chrome River Mobile App We have resolved an issue that required iOS users and certain Android users who access the Chrome River mobile app via SSO to log back in frequently. Users who have not yet updated to version 2.0.7 of the app may manually update now to receive the fix. Simply log into the Apple or Google app store and click the UPDATE button on the Chrome River app page. Otherwise, the fix will be implemented automatically in stages over the next week. PURCHASE ORDER PO Unit Price Field Display We have corrected an error with the Purchase Order Unit Price field that prevented the correct display of currency formats containing decimal places separated by commas. May 4, 2022 Enhancements USER INTERFACE Accessibility Enhancements for Screen Readers We have introduced the ability for screen-reader and keyboard users to access the Sort menu in the expense report line-items list. Additionally, we have removed the ability for screen-reader users to navigate via keyboard into areas of the Home Dashboard that are deactivated in order to create parity with the experience of sighted users. INVOICE APPROVAL Display of Parked Invoice Icon in Approvals List Invoices awaiting approval that have been marked as “parked” will now display a P icon in the Approvals Needed list. Note that the list will need to be closed and reopened to display the icon after it is added. Closed-Allocation Indicator for Line Items Approvers will now be able to see at a glance when an invoice line item allocation has been closed and requires attention. The close date will appear in red before the allocation number. EMBURSE ANALYTICS PRO New Visualization Types For Creator users, we have introduced a number of new visualization types that can be added to dashboards or used as standalone visualizations. Some of the new visualization types available include gauge, histogram, calendar heatmap, liquid fill gauge, multiple value, report table, packed bubble, and treemap. Resolved Issues EXPENSE Compliance Violation on Itemization of Hotel Transactions We have resolved an issue that caused some users to receive a compliance violation when itemizing a hotel expense with a transaction attached. PDF Image Upload Error We have corrected an error that prevented some users from uploading PDFs. PURCHASE ORDER Editing PO Line Items with Vendor Item IDs We have corrected an error that prevented users from editing expense line items on a purchase order after attempting to edit the Vendor Item ID. April 20, 2022 New Feature Available EMBURSE CARDS Introducing Support for Multiple Emburse Card Accounts Customers who take advantage of Emburse Cards for pre-approvals may now request to set up and pay from multiple Emburse Card bank accounts. For example, your organization may wish to offer users the choice to request an Emburse Card based on their office location or department. Users will see their choices on a new screen that appears at the beginning of the card-request workflow, before they select whether to reuse an existing card or request a physical or virtual card. Enhancements USER INTERFACE Accessibility Enhancements for Screen Readers We have made a number of UI accessibility enhancements for users of screen readers. First, users will now be able to hear the names of drop-down boxes they are editing, including those associated with user-defined data (UDAs) that appear or disappear based on your organization’s user-interface rules. In Chrome River EXPENSE, we have created a new ADD EXPENSE button that appears whenever the line item list is empty, allowing screen readers to communicate to users that there are no line items yet. We have also added keyboard and screen reader accessibility to the Unsaved Changes dialog box that appears when users attempt to navigate away from an expense report using the top-navigation bar while still in edit mode. This will allow users to activate the CANCEL and LEAVE buttons via keyboard. EMBURSE ANALYTICS PRO Introducing the Travel Overview Dashboard Emburse Analytics Pro customers may now access the Travel Overview Dashboard for a look at travel costs for the current and previous year, broken down by air, lodging, meals, and ground transportation. ADMIN New Rule Builder Configuration Report for Expense Approval Routing Rules Administrators who use the Rule Builder may now download an Excel file snapshot of their live Expense Approval Routing rules. The spreadsheet lists all the details of each rule, including Rule Name, Rule Number, Rank, Actions, Messages, Conditions and any Short and Long Descriptions. Note that the DOWNLOAD button for this report only appears when you are in a live changeset. Resolved Issues EXPENSE Comment Icon on Credit Card or Receipt Transaction Line Items We have resolved an issue that occurred for some users and caused a Comment icon to erroneously appear on any line item created from a receipt or credit card transaction. Image Upload Error We have corrected an error that occurred for certain customers and prevented users from attaching images to expense line items. Display of Uber Receipts in PDF Report We have resolved an issue that prevented Uber receipts from displaying correctly when some users viewed an expense’s PDF Report with receipts. INVOICE APPROVAL Display Order of Prior Approvers on Invoice PDF We have corrected an error that prevented the list of prior approvers on Invoice PDFs from displaying in order of approval date. April 6, 2022 Upcoming Change EXPENSE APPROVAL Enhancements to Tax 2.0 In an upcoming release, we will introduce an update to Tax 2.0, Emburse Chrome River's enhanced tax engine. Tax 2.0 allows tax approvers to confirm or edit tax allocations and finalize them before the report is approved. The enhancement will allow the tax approver to see and edit the Net Amount, in addition to the Tax Amount, while the Gross Amount will be displayed as a simple visual calculation. Additionally, if the amounts are edited, the edited amounts will automatically be reflected in the export. This feature will include a total-tax-allocation validation that is intended to ensure the tax is fully allocated. However, due to the complexity of some rules, we will have turned off this validation for certain expenses. This will still allow tax approvers to edit the Tax and Net Amounts, but they will need to manually ensure the tax allocations on the expense are correct. In cases where customers use a zero-rate tax code and tax approvers want to reallocate some amount of the expense to that zero rate, they no longer need to return the expense to the expense owner for reallocation. This can now be done right in the Tax section by reallocating to the Net Amount of the zero rate. Note that some Tax 2.0 customers may not see these enhancements immediately. If affected, your organization will be notified of the reason. Enhancements EXPENSE Totals Row Removed from PDF Report Tax Summary Section For expenses involving VAT, we have removed the Totals row from the Tax Summary section of the standard Expense PDF Report Template. This will eliminate the confusion created when a line item has multiple applicable taxes, which causes the totals to appear to be incorrect. Note that this change is only for the standard Expense PDF Report Template; if your organization has customized the Expense PDF Report Template, it will be unaffected. EMBURSE ANALYTICS Health Care Guest Details Added to All Expense Explores All Emburse Analytics Expense Explores now contain fields related to Health Care Provider Guest Details for customers who report on these. ADMIN Introducing UI Indicators for New Actions on Access Permissions Admin Screen Newly introduced actions on the Access Permissions admin screen will now display a “New” indicator to alert administrators to recent enhancements. Additionally, administrators will see an at-a-glance summary of all the new actions when they first load the Access Permissions admin screen, before a grant or a policy is selected. Resolved Issues EXPENSE APPROVAL Display of Projected Routing Steps We have corrected an error that prevented users from seeing projected expense routing steps under certain circumstances. Incorrect Unused Items Count Next to Delegate User Name We have resolved an issue that caused expired or used pre-approvals to be included in the count of unused items displayed next to delegates’ names in the User menu. March 23, 2022 Enhancements EXPENSE Introducing the Expense Management Dashboard We are excited to introduce the Expense Management Dashboard, which allows users with appropriate permissions to view all the exported expense reports of individual expense owners in a central location, eliminating the need to delegate into individual users’ accounts. The dashboard also allows users to open expense reports and view them as the expense owner would, including line items, attachments, and tracking details. Users may search by Expense Owner or Report ID. See Expense Management Dashboard in the Chrome River Help Center for more details. Admins may control user access to the Expense Management Dashboard via the Access Permissions admin screen. ADMIN New "Allocation Amount Exceeds Threshold" Attribute for Approval Routing Rule Builder For customers who use our Rule Builder for Approval Routing rules, we have added a new "Allocation Amount Exceeds Threshold" attribute. This can be used to create routing rules based on whether the allocation amount exceeds a threshold that is stored in any of the allocation's User-Defined Fields (UDFs) or the expense owner's UDFs. March 10, 2022 Upcoming Change APP ACCESS Reminder: Internet Explorer Access to Chrome River To Be Deprecated in June As a reminder, due to Microsoft’s deprecation of Internet Explorer last year, Chrome River will be fully deprecating the browser on June 22, 2022 to align with Microsoft’s end-of-life schedule. New Feature Available INVOICE & PURCHASE ORDER Budget Management via UDFs on Purchase Order Allocation Customers may now track budgets via Matter User-Defined Data (UDFs) on the purchase order allocation. Project budget can be entered in the first Matter UDF and, as users create PO lines, the system will automatically increment the second UDF with the line amount. Your organization may then set compliance rules to determine if the total expense has exceeded your budget. Enhancements APPROVALS Plus Button Removed from Approvals Dashboard To streamline the appearance and functionality of the user interface, we have removed the plus button in the upper right corner of the Approvals Dashboard that returned users to the main dashboard. Users may return to the main dashboard at any time by clicking the Chrome River logo in the upper left corner. PURCHASE ORDER & GOODS RECEIPT Recheck Compliance on Invoices Linked to Updated Purchase Orders and Goods Receipts Chrome River will now automatically reevaluate the compliance of invoice line items whenever any linked purchase order or goods receipt is updated. EMBURSE ANALYTICS Access Invoice Spend Details via Invoice Spend Overview Dashboard Emburse Analytics customers who filter the Invoice Spend Overview Dashboard may now drill into the details to view the individual invoices that comprise the values on the dashboard. Once filters have been applied, users simply right-click on an amount field and select the INVOICE SPEND DETAIL option to view a detailed look with the filters applied. Access Invoice PDFs from Look Results Emburse Analytics customers who create an Invoice explore query containing Invoice Header – Invoice ID may now click on any invoice ID in the results to view its associated PDF report. Note that users must have an active Chrome River session open in the same browser for the PDFs to be generated. ADMIN Introducing Slack Notification for Expense Approval We are excited to announce an enhancement to our notification capabilities to allow Emburse Chrome River customers to receive notifications via Slack. The first one available to end users in Slack is the Expense Report Assignment notification. Approvers who have selected Slack as a notification preference in their User Settings will be notified via the Slack app when a report has routed to them as an individual approver (for non-group-based routing). This new feature gives our customers more options for selecting their preferred notification method, whether they're on the go or in the office. Approvers simply click on the expense report name directly in the Slack app to open the report and view the details for review. In future releases, customers will have the ability to approve or return expense reports directly in the Slack app. We are also working on SMS and Teams notifications to give our customers even more options and meet approvers where they are, regardless of their preferred approval method. Search Added to Rates Admin Screen Administrators may now search for specific rates by name on the Rates admin screen. New "Allocation Exists Not Equal to EO's Relationship Attribute" Attribute for Submit Compliance Rule Builder For customers who use our Rule Builder for Submit Compliance rules, we have added a new attribute called "Allocation exists not equal to EO's Relationship Attribute." This can be used to create submit-compliance rules based on whether an allocation to other than the expense owner's Relationship Attribute exists on the expense report. For example, if a user’s assigned cost center changes before their report is submitted, the rule will fire to indicate that the allocation used is now incorrect. Now, users with that permission may also expire pre-approvals when they are working as delegates for other users with that permission. EMBURSE ANALYTICS Introducing the Invoice Spend Overview Dashboard Chrome River INVOICE customers may now access the Invoice Spend Overview Dashboard in Emburse Analytics to track their spend through the INVOICE module. Spend is available by Invoice Status, Month, Aging Bucket, and Vendor. The standard dashboard is available to all Invoice customers. Emburse Analytics Pro customers may copy the dashboard and edit it to fit their needs. ADMIN Reassign Transactions in Bulk Chrome River’s Delete & Reassign Transactions screen allows admins to reassign individual transactions to another user. For customers who need to reassign numerous transactions to multiple different users, we have added a new BULK REASSIGN button to the screen. This allows users to upload a CSV file containing all the reassignments rather than selecting each manually. OFD Receipts Now Available via Request Digital Receipts Admin Screen Customers with employees who submit OFD receipts will now be able to request a downloadable zip file containing those receipts via the Request Digital Receipts admin screen. Display of Purchase Order Line Description We have resolved an issue that occurred when an invoice line was created from a purchase order and prevented the PO line description from appearing in the Select Line pop-up window. Feb. 14, 2022 New Feature Available INVOICE & PURCHASE ORDER CFDI Section Added to Invoice Entry Screen for XML Upload For customers in Mexico, who are have required by government regulations to attach a digitized XML version of an invoice or a receipt, we created a new CFDI section that may be added to the Invoice Header. When this feature is enabled, users may click BROWSE FILE to attach the XML file. A green checkmark will indicate that a file has been attached. If you are interested in taking advantage of this feature, please open a case in the Chrome River Help Desk. Enhancements EXPENSE ENTRY Automatic Rounding of Per Diem Hours on PDF Report Chrome River’s Per Diem functionality will now round up hours on the PDF report when the end time is one minute short of the hour, enabling users to be reimbursed for the full hour. For example, a trip that occurred from 9:00 am to 11:59 pm will now count as 15 hours rather than 14 hours on the PDF report. INVOICE Globally Edit User-Defined Data on Invoice Line Items We have enhanced the Invoice entry form by making it possible for users to edit User-Defined Data (UDAs) simultaneously on all line items where they appear. When users select multiple line items and click the GLOBAL EDIT button, two or more UDAs that are the same across the selected line items will appear in the pop-up window for editing. If none of the selected line items share UDAs, none will be editable. EMBURSE ANALYTICS Additional Routing Fields Now Available in All Expense Explores Chrome River EXPENSE customers may now report on such additional routing fields as Rule ID, Rule Rank and Short and Long Rule Descriptions via the Expense Tracking, Header/Line/Allocation, Cash Advance, and Accruals explores. InterAction Fields Added to All Expense Explores Emburse Analytics customers who take advantage of Chrome River’s InterAction integration for populating guest data may now report on InterAction data for Expense/Transaction Owner and Guests. APIs Line Item Dates Passed Via API Chrome River will now pass the dates of all expense line items via the line item details Expense API. ADMIN View Linked Expense and Pre-Approval Forms on UDA Admin Screen Chrome River’s User Defined Attributes admin screen now displays the total count of expense and pre-approval forms linked to each UDA in the list. When users click a UDA to preview its details, the Linked Forms section lists the name of each expense and/or pre-approval form linked to that UDA. This allows admins to see at a glance where any changes to the UDA will appear. Edit Tile Labels Via Expense Type Admin Screen Admins with appropriate permissions may now choose to edit and publish changes to Expense Type tile labels directly from the Expense Type admin, rather than having to navigate to the Tile Editor or Messages Editor to change the label of an Expense Type tile. Simply select the desired language in the new Tile Labels section and click EDIT. Resolved Issue ANALYTICS Current Year Drop-Down on Invoice Group Throughput Standard Report We have corrected an error that prevented 2022 from being displayed in the Current Year drop-down on the Invoice Group Throughput Standard Report. Jan. 26, 2022 New Feature Available INVOICE Repair Order Number Field For Invoice Line Items Customers may now request to have a Repair Order Number text field added to the Line Item entry pane for invoices. Enhancements EXPENSE Automatic Import of Travel Data for Line Items Created From Merge Sets For customers with travel integrations who import travel transactions to be merged with credit card data, Chrome River automatically populates additional trip details (e.g., the itinerary number for flights) from the credit card transactions. In cases where these details are not included in the credit card transaction, the system will now be able to populate them from the travel transaction instead, eliminating the need to manually enter the additional trip details after the transactions are merged. PRE-APPROVAL Watcher Emails for Pre-Approval Routing with Auto-Approval Chrome River offers a Watcher feature that will send approval email notifications to additional users to allow them to view approval routing without having approver permissions. For example, customers may choose to have a travel manager or department notified once a pre-approval is fully approved. Now, these watchers will receive a notification even if the last approval step was automatically approved. PURCHASE ORDER & GOODS RECEIPT Goods Receipt Number Validation to Prevent Duplication For customers who use our API, Chrome River will now validate the Receipt Number field for goods receipts created inside the app to prevent accidental duplication. EMBURSE ANALYTICS My Card Request Fields Added to Emburse Analytics Emburse Analytics customers may now report on data related to Emburse Card requests, including card nicknames, status, and create date. Vendor/Merchant Field Available in Looks Chrome River EXPENSE customers may now create Emburse Analytics Looks for the Expense Header/Line/Allocation Explore that contain Vendor/Merchant field data. Allocation Segments and Entities Added to Emburse Analytics for Expense We have updated the Emburse Analytics Expense models to include the three entities assigned to Allocation master data and the GL segment fields from the optional Allocation Reference configuration. APIs Line Item Transaction Dates Passed Via API Chrome River will now pass the transaction dates of all expense line items via the line item details Expense API, including those of the non-primary transaction. ADMIN New Visual Preview of Changes to Forms Admins with appropriate permissions may now see a preview of changes to forms by clicking the new VIEW button in the Changeset Manager. This will open an interactive visualization showing the composition of the form, making it easier for admins to review changes made using the form editor. Forms and UDAs Added to Changeset Manager Draft View Admins with appropriate permissions may now choose to edit Forms and User Defined Attributes (UDAs) from a new draft changeset by clicking the new Forms or User Defined Attributes tiles within the Changeset Manager. The option to access the User Interface editors will only appear in a draft changeset in which no changes have been made. New "Compliance or Submit Compliance Warning Exists" Attribute for Expense Approval Routing Rule Builder For customers who use Chrome River’s Rule Builder for Expense Routing rules, we have added a new "Compliance or Submit Compliance Warning Exists" attribute. This can be used to create routing rules based on whether particular Compliance or Submit Compliance warnings exist on the expense report. APP LOGIN Cosmetic Enhancements to Login Page for Non-SSO Users We have made minor cosmetic changes to the Chrome River app login page for customers who do not use SSO. These include a new logo, rounded corners, and a different shade of gray for the background. HELP DESK Time Zone Option Added to Case Form The Chrome River Customer Help Desk now features a Time Zone drop-down on the case form. This allows users to select the preferred time zone for contact and set it as their default for future cases, if desired. Jan. 12, 2022 New Feature Available EXPENSE ENTRY Sort Allocation Search Results By MatterNumber Chrome River customers may now choose to change the way results are displayed when users search for an allocation on the Expense Entry screen. By default, allocations are sorted by MatterUniqueID in the search results. However, when the search term exactly matches the MatterNumber, it is displayed as the last result in the list. Now, your organization may choose to have the results sorted by MatterNumber instead. To take advantage of this enhancement, an admin may navigate to CONFIGURATION > CUSTOMER PREFERENCES > EXPENSE and scroll down to Allocation in the Line Item Detail section. Select the desired sort criteria from the drop-down list next to “Sort allocation search results by.” Enhancements EXPENSE ENTRY Direct Access to Expense Reports Via the Expense Report Status Email Notification Expense owners may now directly access their expense reports via the links in Expense Report Status email notifications, rather than being directed to the Report Dashboard. If users are already logged in to Chrome River in the associated browser, the report will open directly. If they are not logged in, they will first need to enter their login credentials before being taken to the report. This enhancement is available to SSO and non-SSO customers. Where the report opens depends on the status of the line items. If all line items are in Draft status, the report will open in Draft mode. If all line items are in Returned status, the report will open in Returned mode. If all line items are in Pending, Approved, Exported, or Paid status, the report will open in Submitted mode. If the line items have multiple statuses, the report will open in Returned mode. EXPENSE APPROVAL Image Links in Approval Emails for Customers with Multiple IDPs Chrome River recently enhanced security by requiring users to authenticate when they click the “View,” “View Receipts” and “Approve” links from Expense Approval Email Notifications. Once authenticated, they are taken directly to the report inside Chrome River. This enhancement is now available for customers who are set up with SSO (Single Sign-On) and have multiple IDPs (Identity Providers). Users who click one of these links will be required to log in to the Chrome River app if they are not logged in already in the same browser. However, they will not need to reauthenticate when they click other "View" or “Approve” links in that email or other emails until their session expires. Enhanced Prior Approvers List for PDF Reports and Approval Emails Chrome River customers who take advantage of our Tax 2.0 and RISK Monitor features will no longer see “Autobot” approvers in the list of Prior Approvers displayed in PDF reports and approval emails. This will make it easier to see at a glance the names of the actual approvers. INVOICE, PURCHASE ORDER & GOODS RECEIPT Quantity Field Now Supports Values in Millions The Quantity field on the Invoice, Purchase Order and Goods Receipt entry screens now supports numeric values in the millions. Line Breaks in Purchase Order Terms & Conditions Customers may now use line breaks in the Terms & Conditions field on the purchase order header to make the text easier to read. Filter Amounts on PO Management Dashboard Users may now filter the Amount column on the Purchase Order Management Dashboard. EMBURSE ANALYTICS Introducing Emburse Analytics for INVOICE Chrome River INVOICE customers may now utilize three standard Invoice reports within Emburse Analytics. Accruals/Unexported Invoices: A detailed report showing pending and approved invoices. Exported Invoices: A detailed report showing exported invoices within a given time frame. Open Approvals: A detailed report showing pending invoices currently routing through the approval process, with information on how long the invoice has been waiting to be approved with the current approver. We will continue to extend reporting capabilities for Invoice in upcoming releases, including the introduction of a new Invoice Spend dashboard For Emburse Analytics Pro customers, we have released an Invoice reporting model for ad hoc analysis purposes. Invoice Data Now Available with Emburse Connect for Analytics Emburse Connect for Analytics gives your organization the ability to retrieve data directly from the Emburse data warehouse. This solution has been expanded to include invoice transactions and invoice-specific master data. Expense Compliance Dashboard Now Available Emburse Analytics’ new Expense Compliance dashboard will allow users to quickly track "risky" spend, as well as the trending of Compliance rules over time. Risky spend includes categories commonly associated with high cash spend, spend that may not require substantiation, or "Other"- and "Misc"-labeled categories. While spend in these categories is not always misuse, they are the categories most easily misused due to the lack of constraints commonly applied. Your organization may use this information to investigate anomalies or to refine expense types to reduce spend in these categories and increase spend in categories that may be controlled more closely. Standardized Vendor/Merchant Field for Emburse Analytics Pro We have added a new Vendor/Merchant field to the Expense model for Emburse Analytics Pro customers that is populated from credit card transactions and commonly used User Defined Attributes. Previously it could be difficult to analyze spend for a specific vendor when the vendor name varied based on the site. Now, we have mapped commonly used hotel, airfare, car rental, and retail vendors’ name variations to a single, consistent name for each. For example, the entries HAMPTON INN AND SUITE MURRAY KY, Hampton Inn, HAMPTON INN ROANOKE VA, and HAMPTON INN Vancou Richmond now all map to the consistent brand name “HAMPTON INN BY HILTON.” APIs Approval Deep Links for Expense APIs with Header-Level Details Expense APIs that send header-level details of expense reports now contain an additional approval deep link, which will take the user to the expense report on the Approval Dashboard if it has been submitted. This will allow third-party vendors to perform audits on expense reports. Introducing Expense Daily Allowance for Meals and Lodging Expense APIs that send line-item-level details now contain additional currencies and amounts—including Original Amount, Converted Amount, and Personal Amount—to enable third-party vendors to perform audits on expense reports. ADMIN New Forms Admin Screen for Expense Line Items Customers may use our new Forms admin screen to edit and duplicate the data-entry forms that collect information when users create or edit expense line items. A form is what users see when they click on an expense-type tile within a mosaic. The Forms admin screen allows your organization to customize the types of data captured by forms by adding and removing standard fields, user-defined data (UDAs) and rules. You may also choose to prevent users from altering the value of a field, require users to enter data in certain fields, hide fields, and customize the tooltip that appears when users hover over a field. New User Defined Attributes Admin Screen for Custom Form Fields Chrome River’s new User Defined Attributes admin screen allows customers to easily create and edit custom fields that can be put on forms to collect information from users. For example, your organization may wish to create an Airfare Class UDA as a drop-down list that allows users to choose from First, Business or Economy classes when creating an Airfare expense. The User Defined Attributes admin screen lets you create new UDAs; choose whether they display as a checkbox, a currency or date field, a drop-down or searchable list, a numeric field, or a text field; and select whether they are required and what the custom validation message will be if users neglect to save the form without entering required data. Introducing API Monitor for Expense and Invoice Export Status APIs Chrome River customers who use our connectors or Export API now have visibility into the status of Expense and Invoice exports via the new API Monitor admin screen. Administrators may search by date or status to view the Process Date, Unique ID, Report ID and Expense Owner name for each export. If such optional data as Code, Message or Description was passed via the API, it will also be visible. New Rule Builder Configuration Report for Expense Compliance Rules Administrators who use Chrome River’s Rule Builder may now download an Excel file snapshot of their live Expense Compliance rules. The spreadsheet lists all the details of each rule, including Rule Name, Rule Number, Rank, Messages, Conditions and any Short and Long Descriptions. Note that the DOWNLOAD button for this report only appears when you are in a live changest. Account Management Admin Screen UI Enhancements Administrators who use Chrome River’s Account Management admin screen will notice small cosmetic enhancements to the Wise CONNECT and UNLINK buttons. A Wise label will now appear above the CONNECT button on Wise account rows, while the button previously labeled UNLINK will now be labeled DISCONNECT. There is no change to the functionality of the buttons or the screen. Resolved Issue EXPENSE Intermittent Allocation Reference Rule Issue We have corrected an error that prevented Allocation Reference Rules from firing intermittently for a few customers. Dec. 1, 2021 New Feature Available EXPENSE ENTRY Introducing Expense Daily Allowance for Meals and Lodging Chrome River customers may now track actual spend against allowable spend via the new Expense Daily Allowance feature. While Chrome River’s Per Diem feature gives users a lump daily sum, Expense Daily Allowance only reimburses users for the actual amount spent on meals and lodging, and it tracks any overages. For example, if a user is allowed $100 per day for meals and spends $10 on breakfast, $10 on lunch, and $150 on dinner, the system will fully reimburse breakfast and lunch but show that only $80 of dinner is within the allowance, with a $70 overage displayed on the expense report. Your organization may decide how to handle overages—for example, having users split the line-item allocation between the allowed and overage amounts, handling overages in your ERP, or simply not reimbursing overages. Expense Daily Allowance tracks spending across reports, so if users create separate reports for the same date, all expenses will be checked against the allowance amount for that date. Complete details of all reports for that date may be viewed on a single Allowance Details screen. Additionally, Expense Daily Allowance can disallow spending on alcoholic beverages, if desired, and it handles tax for hotel lodging expenses. Nov. 17, 2021 Enhancements EXPENSE ENTRY Enhanced Screen-Reader Support for Creating Expenses For users who utilize a screen reader when accessing Chrome River, we have enhanced the functionality to make it easier to create and submit expense reports. This includes support for such drop-down menus as the Allocation Selector and Guest Selector and the ability to submit a report from the Drafts list or from within an open report via the screen reader and keyboard. Bing Maps Support Added for Driving Directions in South Korea Because Google Maps does not provide driving directions within South Korea, we have added an integration that will automatically switch Chrome River’s map wizard from Google Maps to Bing Maps if the user’s tax location is in South Korea. ADMIN New “Expense Owner Role/Relationship Attribute” Attribute for Rule Builder For customers who use Chrome River’s Rule Builder tool, we have added a new "Role/Relationship Attribute" attribute within the Expense Owner primary object. This new attribute is available for all supported rule types and can be used to create rules that compare an expense owner's relationship attribute to a particular system attribute or custom value. Nov. 3, 2021 New Feature Available PURCHASE ORDER Enable Editing of Approved Purchase Orders Customers may now choose to enable users to edit any approved purchase order that was created inside Chrome River. Edited purchase orders will be returned to Draft status and be subject to the same rules and routing as any other draft PO. Note that POs created via API will not be eligible for editing. If you are interested in taking advantage of this feature, please create a case via the Chrome River Help Desk. Enhancements EXPENSE ENTRY Remove Tax During Approval For customers configured with Chrome River’s Approver-Only tax process, we have given approvers the ability to delete individual tax entries in situations where they do not apply. Approvers may remove tax lines individually by clicking the X, or they may click REMOVE ALL to delete all tax lines. The REMOVE ALL button replaces the former “No Valid Tax Receipt” function. Clicking RESTORE ALL will restore the original tax information. IMAGING Support for OFD File Format in Chrome River EXPENSE Chrome River EXPENSE now allows desktop and mobile browser users to upload OFD format images to expense report headers and line items, the eWallet, and the Receipt Gallery. Support for OFD upload via the Chrome River mobile app will be added in a future release. CHROME RIVER MOBILE APP Access Approval Email Links Via the App Users of the Chrome River app may now open all deep links from emails within the app. When users have the Chrome River app installed on a mobile device and open an approval email on that device, clicking on a link in the email will automatically open the report or the receipts in the app on their device. EMBURSE ANALYTICS New Pre-Approval Reporting Models and Open Approval Report for Emburse Analytics Customers may now track pre-approvals and report on such pre-approval data as Owner, Creator, Compliance, Allocation and Header Notes via the new Pre-Approval and Pre-Approval Tracking models in Emburse Analytics. We have added a new standard report for tracking Pre-Approval Open Approvals (e.g., submitted Pre-Approvals that have not yet been approved). The new models are available to Emburse Analytics Pro customers for ad-hoc reporting or for adjusting standard reports. The Open Approvals standard report is available to Emburse Analytics and Emburse Analytics Pro customers. New Invoice Reference Standard Reports for Emburse Analytics We have added several new standard reports for Invoice master data to allow Chrome River INVOICE customers to report on: Invoice Customer Addresses Invoice GLs Invoice Tax Codes Invoice Vendors and Vendor Addresses The reports can be found in the Chrome River Reference folder inside Emburse Analytics. Resolved Issues EXPENSE Display of Amounts with Firm-Paid Personal Items We have corrected an error that caused incorrect amounts to display in certain parts of the application when the report contained a Firm-Paid Personal item or an item that was split between Firm-Paid Personal and another allocation. INVOICE Invoice Creation Via Email We have resolved an issue that prevented some customers from creating new invoices in Chrome River by forwarding emails to emailinvoice@chromefile.com. Extra Text in Invoice Recall Email Notification We have corrected an error that caused two lines of extra text to appear in the body of the Invoice Recall HTML email notification. Oct. 20, 2021 Enhancements INVOICE User-Defined Data Added to Invoice Audit History Invoice administrators may now view their organization’s user-defined data in the Audit History for invoices. OCR VISION Additional Invoice Number and Invoice Date Labels Now Supported Chrome River now recognizes multiple variations of the “Invoice Number” and “Invoice Date” labels extracted by OCR Vision, including “Bill Number,” “Tax Invoice,” and “Document Num.” Oct. 6, 2021 New Features Available IMAGING Deactivate Automatic Splitting of Multipage Image-Based PDFs By default, Chrome River automatically splits multipage, image-based PDFs into individual receipt images, saving users time by allowing them to upload multiple receipt images simultaneously. (Text-based multipage PDFs, like hotel folios, are not automatically split.) However, in certain cases users may not wish to have image-based PDFs automatically split—for example, if a user is given only a printed hotel folio and takes a picture of it for upload to Chrome River. Now, customers may choose to deactivate automatic splitting of multipage, image-based PDFs. If you choose to deactivate the splitting of image-based PDFs, it will occur for all users in your organization. Vertical splitting will no longer occur for image-based PDFs that are multiple pages. However, Chrome River will continue to vertically split image-based PDFs containing multiple receipt images on a single page. EXPENSE ENTRY Introducing the Contacts REST API for Guest Expenses As part of Chrome River’s API approach to support integration with external systems, we have introduced the Contacts REST API to enable customers to send guest-expense contact data to Chrome River from any CRM system. Users may then choose “API Contact” from the Guest Selector drop-down when creating guest expenses like meals in order to access your organization’s list of guest contacts. If desired, an administrator may customize the “API Contact” label via the Messages file—see “Messages Admin Screen” in the Chrome River Help Center for complete details. Enhancements USER INTERFACE Accessibility Enhancements for Keyboard Navigation and Screen Readers As part of our ongoing accessibility efforts, we have made several enhancements to keyboard navigation and screen-reader support to make the interface more intuitive for users with disabilities. This includes the entire Home Dashboard and the Drafts, Returned, and Submitted expenses lists. EMBURSE ANALYTICS New Audit Dashboard Emburse Audit subscribers now have access to a new dashboard in Emburse Analytics showing auditor activity. The dashboard allows them audit data at a glance, including the number of reports audited, how many audits failed, employees with the highest number of auditor actions, and the top reason codes for auditor action. Subscribers to Emburse Analytics Pro and Emburse Insight Advisor also have the option to create their own dashboards, visualizations, and reports against the audit data. Retrieve Receipt Images via Emburse Connect for Analytics Emburse Connect for Analytics subscribers may now directly access receipt images via a link in the Emburse data warehouse using their own data warehouse or Business Intelligence tool. ADMINISTRATION Download Export Data from DIRECT PAY Export Screen Administrators may now download a .csv or .xls version of all the data on the DIRECT PAY Exports Screen by clicking DOWNLOAD AS and selecting the desired file type. The generated file will contain all the items returned by the current filter on the screen. Sept. 23, 2021 Enhancements USER INTERFACE Activation of New Top-Navigation Bar in Production Environment With the last release, we automatically activated the new user interface in the Production environment for all customers on our C5 instance. On Sept. 21 we activated the new user interface for customers on our C1 instance. Customers on our C3 instance will receive the new user interface on Sept. 28. To determine which instance your organization is on, see “Understanding Chrome River Instances and Environments.” Once your organization has the new user interface activated in Production, there will no longer be an option to switch back to the old interface. Please note that we are updating all corresponding Help Center content with the new user interface throughout the month of September. EXPENSE APPROVAL Enable Unauthorized Users to View Image Links in Approval Emails Chrome River recently enhanced security by requiring users to log in when they click the “View” or “View Receipts” links from Expense Approval Email Notifications. As part of this enhancement, only the user to whom the expense is assigned may view those images. Now, customers may choose to allow any user who receives the email notification and is logged in to Chrome River to view images via those links. For example, if your organization uses the Watcher feature, approval emails can be sent to additional users who are not the expense approver. Now, those users may also access images via links in those emails, as long as they are logged in to Chrome River. A user with appropriate permissions may activate this feature by navigating to SECURITY > ACCESS PERMISSIONS. Select the User Default Access policy and click EDIT. Under User Access, check “Allow Viewing Receipts On Approval Emails Without Authorization,” then click SAVE. EMBURSE ANALYTICS New Cash Advance Explore for Emburse Analytics Pro Emburse Analytics Pro and Insight Advisor customers may now track outstanding cash advance balances by expense owner and line items to which a cash advance was applied via the new Cash Advance Explore. Sept. 8, 2021 Enhancements USER INTERFACE New Top-Navigation Bar Coming to Production Environment As previously announced, this month we will automatically activate the new user interface in the Production environment for all customers over the course of several releases, based on instance. EXPENSE ENTRY Enter Additional Information When Adding Multiple Transactions Chrome River offers customers the ability to require users to provide more data for certain expense types via an Additional Information section. For organizations who take advantage of this feature, users will now have the opportunity to enter this information during the process of adding multiple transactions to their report simultaneously, rather than receiving error messages at the end that require them to reopen all the line items they just added. For example, if your organization requires users to select from a list of reasons for a certain type of expense, when users add multiples of this expense to a report all at once, the interface will present the opportunity to select a reason for each expense before opening the Create Line Item screen for the next expense. INVOICE Display of Vendor Payment Terms in User Interface Customers who have added vendor payment terms to a vendor address record will now see those terms on invoice records with that vendor address when the invoice Due Date is displayed. EMBURSE ANALYTICS New TripLog Field Added to Expense Explores Users of the Chrome River Expense Explores in Emburse Analytics now have access to a TripLog field in the Transaction folder. This allows them to analyze the percentage of Mileage line items that come from Chrome River’s TripLog integration. Report on Tax Fields in Looks and Dashboards Emburse Analytics users may now report on tax fields in Looks and Dashboards via the dimensions and measures recently added to the Expense Line VAT and Expense Line Allocation VAT folders. The new dimensions are Tax Code, Tax Percentage, and Tax Percentage Reclaim. The new measures are Implicit Amount, Amount Spent Entered, Amount Spent Converted, Amount Spend Converted Applied, and Amount Spent Converted Remainder. All fields will be available for VAT1, VAT2, and VAT3. ADMIN New "Exceeds Daily Meal Threshold" Attribute for Compliance Rule Builder For customers who use our Rule Builder for Compliance rules, we have added a new "Exceeds Daily Meal Threshold" attribute. This can be used to create rules that check whether an employee has exceeded a daily limit for meals, looking across the employee's expense reports as well as expense reports where the employee is listed as a guest. Additionally, for users who access the application via screen reader, we have improved screen-reader support for navigating through the Draft Expense Reports List. EMBURSE ANALYTICS New Unexported Expense Spend Dashboard We have introduced a new Unexported Expense Spend Dashboard for Emburse Analytics that allows users to see data on unexported expenses at a glance. To access this and other dashboards from the default view, click your company name in the navigation trail at the top of the screen, then select the desired dashboard from the list. New Fields Added to Expense Explores Users of the Chrome River Expense Explores in Emburse Analytics now have access to the following guest-related fields for line items: Guest Count Total, Guest Count Internal, Guest Count External, Guest Count Healthcare, Cost Per Guest (Customer Currency), Cost Per Guest (Spent Currency), Cost Per Guest (Converted Currency) and Guest List. Additionally, we have added Recall Date, Recaller and Count fields to allow users to analyze the number of times a report has been recalled and by whom. Enhanced Display of User-Defined Data Labels in Explores We have enhanced the display of User-Defined Data (UDA) labels in Emburse Analytics Explores to match that of the Export Builder Admin screen. This will enable users to differentiate among UDAs that all have the same label. For example, AirfareClass, RailClass and CarRentalClass UDAs all have the label “Class.” Now, the specific class will be displayed in parentheses, e.g., “Class (AirfareClass).” Edit Descriptions for Looks and Dashboards Now, in addition to editing the names of Looks and Dashboards, Emburse Analytics users with Creator permissions may also edit their descriptions by clicking the pencil icon. ADMIN New "Mileage Deduction" Attributes for Compliance and Expense Routing Rule Builder For customers who use our Rule Builder for Compliance or Expense Routing rules, we have added new "Mileage Deduction Amount" and "Mileage Deduction Distance" attributes. These can be used to create rules that check whether a required mileage deduction has been taken on Mileage line items. New "Compare Line Item Amount to Sum of Specified UDAs" Attribute for Compliance Rule Builder For customers who use our Rule Builder for Compliance rules, we have added a new "Compare Line Item Amount to Sum of Specified UDAs" attribute. This can be used to create rules comparing the sum of a list of configured numeric UDAs on a particular line item to the line item amount or to a specific threshold.
