Delete & Reassign Transactions Admin Screen

The Delete & Reassign Transactions admin screen allows you to delete unused credit card transactions for a single user and to move transactions from one user to another, such as when a user leaves the company before submitting all expense transactions.

Click ADMIN SETTINGS > TRANSACTIONS > DELETE & REASSIGN.

Delete Credit Card Transactions

Note: As a security precaution, an administrator cannot delete any of his or her own transactions.

1. Use the filters to help you find the desired transaction(s).

2. Select the transaction(s) and click DELETE. You may also drag the column headers into the blue bar in order to group the search results by those column headers.

3. You will be asked to confirm the deletion by entering the word "DELETE" in the box. Then click DELETE.

Reassign Expense Transactions

Administrators may select users of any status except Disabled in order to view all transactions that are active but not used in an expense report. You may select some or all transactions and move them to a new user.

Note: Reassigning any transactions that are part of a merged set will cause all of the transactions in that set to be reassigned.

1. Use the filters to help you find the desired transaction(s).

2. Select the transaction(s) and click REASSIGN.

3. In the pop-up window, use the search box to find the person to whom you wish to reassign the transaction(s). Then click REASSIGN.

Edit Transaction Description

The EDIT TRANSACTION button allows you to add information to the Description of each transaction, like an explanation when an older transaction remains unused. For example, if a user’s flight was canceled and resulted in a credit, the user might wish to wait to expense that credit card item until she uses it for another flight.

1. Select the desired transaction(s) and click EDIT DESCRIPTION.

2. Enter the description and click APPLY. The same description will be applied to all the selected transactions.

Bulk Reassign Transactions

For customers who need to reassign numerous transactions to multiple different users, the BULK REASSIGN button allows admins to upload a .CSV file containing all the reassignments rather than selecting each manually.

1. Click BULK REASSIGN.

2. The pop-up screen contains specifications for the .CSV file to be uploaded:

  • The file format must be .CSV

  • The first row must be a header row, defined as

  • Column A = FeedTransactionUniqueID

  • Column B = CustomerUniqueID

  • Reassign detail rows must contain:

  • Column A = Feed Transaction Unique ID of the transaction to be reassigned

  • Column B = Unique ID of the employee the transaction is to be assigned to

3. Once the .CSV file is correctly formatted, click UPLOAD and select the file.

4. In the Upload Confirmation pop-up, check that the correct file has been selected and click UPLOAD.

5. The Bulk Reassign Results pop-up will show you the number of successfully reassigned transactions and the number of errors.

6. Click DOWNLOAD RESULTS to get a .CSV file showing which transactions had errors and what the errors were.
