Update Multiple Mosaics Simultaneously Via Mosaic Automation

Customers who require large numbers of mosaics are implemented with Mosaic Automation, which allows your organization to have multiple mosaics generated from a single template. For example, you could have a separate travel-related mosaic for every country in which your employees regularly travel for business. When updates are required, an admin simply has to update the template for the changes to be reflected on every country's mosaic, or to use Table View to easily make changes to individual mosaics.

If your organization has activated this feature, you will see two tabs at the top of the Mosaics list, accessible from the Mosaics & Tiles admin.

  • Default: Your organization's standard mosaics, along with any being used as templates

  • Generated: Mosaics created from a template during implementation of Mosaic Automation

Access Permissions

It is important to ensure that the correct access permissions have been set in order to take full advantage of Mosaic Automation.

1. In the Admin menu, navigate to SECURITY > ACCESS PERMISSIONS and select the appropriate policy.

2. In the Mosaics & Tiles section, be sure that all of the following permissions are checked:

  • Show in Admin Menu

  • EXPENSE - Read Mosaics

  • EXPENSE - Edit Mosaics

Edit a Mosaic Template

Mosaic templates are edited the same way standard mosaics are edited. See "Edit Mosaic" in Mosaics & Tiles Admin Screen for details.

Edit Generated Mosaics

Table View allows you to easily make individual changes to large numbers of generated mosaics simply by checking or unchecking boxes in the Tile Grid.

1. Select the template associated with the desired generated mosaics and click TABLE VIEW.

  1. The Column Headers across the top correspond to entities—e.g., different countries, business units—for which your organization has created mosaics. In this example, the countries are referred to by two-letter codes, but your organization may choose to refer to them by name.

  2. The Entity Type box displays the entity type associated with the entities that comprise the Column Headers. In order to change which columns (i.e., entities) appear here, you will need to navigate to the Entity Admin screen and add or remove entities for this entity type. See Edit Columns (Entities) on Generated Mosaics, below, for complete details.

  3. The Rows represent the individual expense-type tiles that appear on the template. To change which tiles and folders appear here, you will need to edit the mosaic template. See "Edit Mosaic" in Mosaics & Tiles Admin Screen for details.

If you have not yet created or selected a changeset, you will be prompted to the first time you click on the Tile Grid.

A changeset is just a way to make changes to the user interface that can be tracked and easily reversed, if necessary. You may select an existing changeset (e.g., one you've already created containing related changes you'd like to make) or create a new one. See Create and Publish Changesets for complete details.

2. To unlock a row for editing, click anywhere along the row. A SELECT ALL button will appear. If necessary, click it to turn it into a DESELECT ALL button.

To unlock a column for editing, click the column header. An lock icon appears when you hover over the column header.

3, To add or remove an expense-type tile from the mosaic of an entity, check or uncheck the corresponding box in the Tile Grid. A blue square will appear over each checkbox that has been changed to help you keep track.

4. When you are done, click UPDATE MOSAIC.

Edit Columns (Entities) on Generated Mosaics

The columns in the Tile Grid correspond to entities—e.g., different countries, business units—for which your organization has created mosaics. Administrators may change which entities appear in the Tile Grid—for example, if your organization creates a new business unit or stops operating in a certain country.

The box in the upper left corner displays the entity type that determines which entities appear as columns in the Tile Grid.

Simply navigate to the Entities Admin screen and add or remove entities for the entity type displayed in the upper right corner of the grid. For complete details, see "Create a New Entity" or "Edit an Entity" in Entities Admin Screen.
