Allocations Admin Screen The Allocations Admin screen allows users with administrative privileges to add and update allocations (which your organization may refer to as matters or projects). Click ADMIN SETTINGS > MASTER DATA > ALLOCATIONS. Access and Edit Allocations To find an allocation, type all or part of its number or name in search box. You may also search by client name. After you have filtered by one term or number, you may filter by an additional term or number just by entering it after the original in the search box. Only the first 100 results display by default, but you may continue scrolling to load the rest. Click on the desired allocation to display its details. Click EDIT to make changes to an allocation. When you are finished, click SAVE. Create a New Allocation To create a new allocation, click the blue plus button to the right of "Allocations." The configuration options on the screen are determined by your company; some fields may be optional or mandatory. Below is a list of the most common configurations. Number: Allocation ID. Client Number: Client ID associated with the allocation. Client Name Description Parent Number: Optional Client Parent ID. GL Account: Fill in this field if the allocation is used as a GL account. Type: Optional allocation type. Unique ID: Chrome River’s unique identification number for the allocation. Route Independently: Check this box to allow line items with this allocation to route to specific people or groups independently of each other. Project Currency: Currency associated with allocation; by default it is the one associated with the user who is logged in and creating the allocation. Language: Language associated with allocation; by default it is the one associated with the user who is logged in and creating the allocation. Closed Date: Enter a date to close the allocation. It will no longer be available to select but will remain accessible in the Allocations Admin screen. Historical data associated with the allocation will remain. When you are done, click SAVE. Alternatively, click CANCEL to exit without creating the new allocation. Matter On Selects and Extra Line-Item Data Depending on your organization's configuration, for each allocation you may specify either Extra Line Item Data or up to two Matter On Selects, but not both. Matter On Selects Chrome River allows customers to require users to select a sub-allocation, known as an “on-select,” when they use certain allocations. Use the drop-down menus to choose one or two sub-allocations for the allocation you are creating. Extra Line Item Data Chrome River allows customers to require users to choose from a list of extra data applicable to the allocation they've selected. Click ADD/MODIFY EXTRA LINE ITEM DATA to add the desired extra information users will be required to choose from. Begin typing or click in the box to choose from the drop-down list. As you select Extra Line Item Data criteria, they will appear in a list under the box. To remove criteria, click the X to the left of the name. When you are finished, click APPLY. You will now see the list of Extra Line Item Data on the Allocation screen. Delete Allocation Deleting allocations that will no longer be used is not recommended because it completely removes them and all their historical data from the system. This precludes auditing or reporting on that allocation in the future. Instead, we recommend editing the allocation and giving it a Closed Date. See Access and Edit Allocations, above. If you must delete an allocation, select it in the list and click DELETE in the upper left of its preview screen. Allocations Access Permissions If your organization had customized the default access policies for the Allocations admin screen prior to the release of the create, edit and delete functions for this screen, a user with Super Admin permissions will need to reenable them for the appropriate users by checking the boxes under “Allocation” on the Access Permissions admin screen.
