Global XML e-Invoice Upload: Attach XML e-invoices from any country to expense line items, supporting compliance with European and other government regulations. Pre-Approval Emburse Card Compliance: Users must accept Authorized User Terms and the E-Sign Disclosure before receiving a card, ensuring consistent compliance. Feature EXPENSE ENTRY Introducing AI-Powered Hotel Folio Capture Emburse Folio now uses AI to automatically capture and itemize hotel receipts. This enhancement reduces manual entry and improves accuracy in expense reporting. Who is it for? Customers who subscribe to Emburse Folio. Key Benefits: With this update, Emburse Folio now captures and itemizes hotel receipts in seconds, reducing manual entry and improving accuracy. Check-in and check-out dates, room charges, taxes, and other details are auto-populated for supported forms. Even if you are not a Hotel Folio subscriber, you will benefit from automatic check-in and check-out date population whenever those fields are present on your hotel expense entry form. The enhanced folio capture is designed to work consistently across mobile, email, and web entry points. It also adapts globally, handling different templates, languages, and file types, including image-based receipts and PDFs. Rollout Schedule: Currently available for testing in QA/UAT environments. Production rollout begins in October and will complete over the next several weeks. Improvement EMAIL NOTIFICATIONS XML Upload Expanded for Global E-Invoice The XML Upload button on the Expense Entry screen can now be used to attach e-invoices from any country, expanding support beyond Mexico. Many governments, especially in Europe, now require that merchant-issued XML e-invoices be attached to expense submissions. Once your organization activates this feature, users can upload an XML file directly to an expense line item, helping you meet local compliance requirements. When an XML file is uploaded, the file is stored with the expense line item and can be retrieved by administrators through the Request Digital Receipts admin screen. Basic file details will appear in the line item comment. Activation required: Contact Support to enable XML Upload for your organization. Plan For Change PRE-APPROVAL Emburse Card Requests Now Require User Agreement to Terms Users who request an Emburse Card through the Pre-Approval workflow will now be required to accept the Authorized User Terms and E-Sign Disclosure if they have not already done so. This one-time requirement ensures that all cardholders have acknowledged the necessary agreements before receiving a card. Once they accept, users will not be prompted again for future Emburse Card requests.
