Release Notes: January 12, 2023

Note: We may roll out certain changes iteratively through our customer base. As a result, you may experience a few days’ delay (no more than one week) before you see new functionality in your Production environment.

New Features Available

EXPENSE

Allow Approvers to Adjust Expense Type

Customers may now choose to allow approvers to adjust the expense types of line items when approving expenses. After adjustment, the system will automatically rerun UI, Compliance and Location-on-Select rules based on the attributes of the expense owner to ensure compliance. If your organization has configurations that restrict switching to or from certain expense types, these will be respected. Additionally, it is never possible to switch the expense type from or to the Per Diem or Hotel parent expense types.

In order to take advantage of this enhancement, an administrator will need to activate it via the Access Permissions Admin Screen. This allows your organization to control access at the user level by turning on the feature for all approvers, just a specific group of approvers, or multiple groups of approvers. Select the appropriate policy and, under Expense Approvals, check “Allow adjust Expense Type during approval.”

Enhanced Filtering for Allocations

We have enhanced the filtering capabilities of our Matter-On-Select (MOS) feature for allocations, which allows customers to require users to select specific subcategories when entering an expense’s allocation. Now, your organization may customize which values appear in MOS 2 based on what users select for MOS 1 and vice versa. You may also choose to customize the values that appear in MOS 2 and/or MOS 1 based on what was selected for the expense’s Entity User-Defined Field (UDA). For example, if your organization has configured an Airfare Class UDA, you could filter the options that appear in the allocation’s MOS 2 and/or MOS 1 drop-down based on which airfare class the user selects. IMAGING

Enhancements to Digital Receipt Archiving for Spain

We have completed several scalability and stability enhancements to the Emburse Digital Archiving Service (EDAS) and now fully support digital receipt archiving for Spain. Customers who would like to go paperless in compliance with Spanish regulations on digital receipts may capture receipts in Chrome River that will be electronically time-stamped and archived in accordance with Spain’s regulations. This eliminates the need to keep a hard copy of the receipt for tax or other purposes. Additionally, we will capture individual line-item data as XML and seal it along with the corresponding receipt.

EMBURSE ANALYTICS

New Emburse Analytics Help Center & Release Notes Home

We have introduced a more comprehensive, easier-to-navigate Help Center comprising help articles, training resources, and a new consistent place to learn about product enhancements. Click here to see the new Help Center: https://help.analytics.emburse.com/

As part of this enhancement, Emburse Analytics and Emburse Analytics Pro release notes will now be published in the Release Notes section of the new Help Center rather than appearing in the Chrome River release notes.

Note that the original Emburse Analytics help center will remain available until the end of January to give you time to update any links or bookmarks directly to the site. Rest assured that nothing is changing about how you receive support for Emburse Analytics, and you can still access the new Emburse Analytics Help Center from the Chrome River Help Center.

New Domain for Scheduled Emails

Beginning Wednesday, January 18, Emburse Analytics scheduled emails will be sent from a new address, noreply@emburse.com, to make them easier to identify and eliminate potential delivery issues that may cause these messages to be filtered as spam.

New Field Added to Expense Reporting View for Emburse Analytics Pro

We have added a Distance Source field to the Expense reporting views to enable Emburse Analytics Pro users to identify how the mileage distance was entered, e.g., manually, via Google Maps, or via a mileage tracking partner like TripLog.

ADMIN

View Default Allocation UI Rules via Admin Screen

Administrators may now use the recently introduced UI Rules admin screen to view details about user-interface rules that default the allocation using relationship-attribute parameters. Please note that this screen is read only. In future releases we will add the ability to create and edit UI rules.

EXPENSE APPROVAL

Manual Routing After Approver Adjustment

We have corrected an error that occurred for certain customers and prevented manual routing after approvers adjusted an allocation or allocation-on-select.

PER DIEM

Duplicate Line Item Compliance

We have resolved an issue with the compliance rule that prevents users from submitting duplicate lines on a per diem, which was intermittently failing to fire for some customers.

PURCHASE ORDER

Returned Purchase Orders Stuck as Pending

We have corrected an error that prevented returned purchase orders from routing properly when they were assigned to specific approvers.
