Per Diem Locations Admin Screen

Some companies allow employees to spend a specific amount per day on living and travel expenses associated with work. The amount usually varies by location and is defined by government guidelines. The Per Diem Locations screen allows the administrator to manage the countries and cities associated with per diem rates.

View Per Diem Locations

1. Click ADMIN SETTINGS > RATES & LOCATIONS > PER DIEM LOCATIONS.

The Per Diem Locations list contains predefined sets of locations. Each set is labeled "Standard" or "Custom."

• Standard: These rates are set by the government for every country. You may add a city to a standard set of locations. To add an entire country you will need to create a custom set of locations. See Create Custom Per Diem Location Sets, below.

• Custom: These are rates created by your organization. You may add countries and cities to custom sets of locations.

2. Click on a set to view its countries and/or cities.

3. To edit the rates associated with the locations in the list, see Per Diem Rates Admin Screen.

Add New Cities to Standard Per Diem Location Sets

You may add new cities to the standard sets of per diem locations. To add an entire country, see Create Custom Per Diem Location Sets, below.

1. Select the standard location set in the list and click ADD NEW LOCATION.

2. Select the country, state/province (if applicable), and county (if applicable), then enter the city name. Click ADD. Only one city may be added at a time.

3. The city will automatically be created with a 0.00 rate. Use the Per Diem Rates Admin Screen to adjust it.

Create Custom Per Diem Location Sets

Creating a custom per diem location set allows you to add an entire country and all its cities at once.

1. Click the blue plus button, enter the name of the new location set, select the currency and, if desired, add a description. Click SAVE.

2. Now click ADD NEW LOCATION to add a country to the per diem location set.

3. Select the country and click ADD.

4. Note that all cities within that country will have a default rate of 0.00. Use the Per Diem Rates Admin Screen to adjust the rates as necessary.

Edit Custom Per Diem Location Sets

You may edit the name, currency and description of a custom per diem location set. Standard per diem location sets are not editable.

1. Select the desired location set and click EDIT.

2. Make the desired changes and click SAVE.
