Add Images to Invoices

You may attach images to an invoice while you are creating it or after it has been created. You may also create a new invoice by faxing or scanning and emailing an invoice image with a cover page. Note that images may not be deleted from invoices with Exported or Paid statuses.

Only JPG, PDF, and PNG files can be accepted when an image is attached via the Chrome River app, and no file may be greater than 10 MB. Images attached via email or via scanning or faxing may not exceed a combined total of 100 MB. See Invoice Image-Capture Specifications and Troubleshooting for complete details.

Invoices that have one or more images attached display a paperclip icon in the Draft Invoices list.

Add Images from the App

You may attach images from inside an invoice that you are creating or editing.

You may also attach images directly from the Draft Invoices and Submitted Invoices screens' Preview panes without opening the invoice.

Tap BROWSE FILE to upload the invoice image. On desktop computers, you may simply drag the image anywhere in the Preview pane to upload it.

Fax/Email Scanned Images via Cover Page

  • To fax or email images to an existing invoice, you may generate a cover page from inside that invoice or its preview.
  • To create a new invoice by faxing or scanning and emailing an image, you may generate a generic cover page via the User drop-down menu accessible from anywhere in Chrome River.

Via an Existing Invoice's Cover Page

This method will allow you to attach one or more images to an existing invoice. New images will be appended to existing images rather than overwriting them.

1. From inside the invoice or its preview, click PDF (wide-screen devices) or the three dots icon (narrow-screen devices) and select COVER PAGE from the drop-down list.

This will to generate an invoice cover page with a unique invoice ID QR code that will route the image to the correct invoice once it is uploaded.

2. Place the cover page atop the invoice image(s) and follow the instructions on the cover page to submit them via fax or by scanning and emailing them.

3. You will receive an email confirmation message if the submission is successful or a detailed error message if it fails.

Via a Generic Cover Page

This method will allow you to submit one or more invoices to be created as new invoice records that will appear in your Draft Invoices grid.

1. From anywhere in the app, click your user name and select PRINT NEW INVOICE COVER from the drop-down menu. A reusable Invoice Cover Sheet will be generated in a new browser tab.

2. Place the cover page atop the invoice image and follow the instructions on the cover page to submit it via fax or by scanning and emailing it to the number or email on the cover page.

  • To submit multiple new invoices, create multiple copies of the cover page and use them as separator pages between each invoice.

You will receive an email confirmation message if the submission is successful or a detailed error message if it fails.

Add Images Via Email - No Cover Page

Depending on your organization's configuration of Chrome River INVOICE, you may be able to create new invoices by forwarding PDFs via email without a cover sheet.
