Automate Exports via the Report Scheduler

In addition to viewing and editing scheduled reports, Chrome River's Report Scheduler admin window allows you to add and manage auto exports. Users with the appropriate security permissions may add multiple schedules, turn the auto export schedule on and off, and modify filter settings to customize the auto export schedule. 1. From the Admin Menu, click TRACKING NOTIFICATIONS > REPORT SCHEDULER.

Automatic Export Queuing for EXPENSE

You can schedule the system to automatically queue all the expense line items that are ready for export. This function is the same as clicking on the EXPORT button.

The export will run according to the schedule(s) activated in the Configured Reports section.

  • In the highlighted example below, the export is scheduled to run daily (Sunday through Saturday) at 10:00 UTC.

The Status column shows whether the export schedule is active. Click the toggle to change the status.

Automatic Export Queuing has multiple filters. If the schedule uses more than can be displayed in the Configured Reports list, there will be a small black button indicating how many more when you hover over the schedule. Click that button to preview all the filters in a pop-up.

To add or edit filters, hover over the desired schedule and click EDIT.

Automatic Export Queuing includes a mutli-select country filter that narrows the results by expense owner country. You may continue adding countries by selecting them from the drop-down.

Automated Invoice Export

You can schedule the system to automatically export approved invoices. This function is the same as clicking on the EXPORT button.

The export will run according to the schedule(s) activated in the Configured Reports section.

  • In the highlighted example below, the export is scheduled to run weekly, on Monday at 23:00 UTC, including invoices that contain rush payments and/or foreign exchange payments.

The Status column shows whether the export schedule is active. Click the toggle to change the status.

Automated Invoice Export has multiple filters. If the schedule uses more than can be displayed in the Configured Reports list, there will be a small black button indicating how many more when you hover over the schedule. Click that button to preview all the filters in a pop-up.

  • Note that the "Email export confirmation to" filter MUST have a value or the schedule will not run.

There are several filters you can use to narrow the number of invoices exported. To add or edit filters, hover over the desired schedule and click EDIT.

Rush and FX Processor filters offer you the following choices:

  • Both: Includes this type of invoice and all other types
  • Exclude: This type of invoice is not exported.
  • Only: Includes only this type of invoice.
