How to Schedule Legacy Standard Reports Once you have saved a standard report as a template in Chrome River's legacy ANALYTICS, you can schedule it to run at a specific time once or on a recurring basis. The report results will be delivered via email. To learn how to schedule standard reports in our new solution, Emburse Analytics, click here. Note that each template may only be associated with one schedule. To run the same template on multiple schedules, see Clone a Schedule, below. Create a New Schedule 1. On the Standard Reports tab, select the appropriate reporting object to view all the associated templates you have created. 2. Click the MORE button next to the desired template and select SCHEDULE. 3. On the Scheduled Reports entry screen's Task & Recurrence tab, name the schedule and select its frequency: Schedule Report Name: This name is for your reference only and will not be displayed on the report when it runs. Frequency: Choose how often you want the report to run, between which dates, and at which military time. By default, the time zone is that of the user who makes the schedule. 4. You may also choose to override any Output format already assigned to the template. 5. The Distribution tab lets you choose who will receive the report and what they will see. To: The scheduled report may be distributed to up to 20 people. Use the search box to find the desired user(s). From: Enter the name of the person or group you want the email to come from. Subject: Enter the email's subject line. Email Information: Choose whether you want to send the report as attachments or as inline messages. Inline: The report is sent as HTML in the body of the email. Attachments: If you want the report to be sent in Excel or any format other than HTML, choose Attachments. Because the report will be an attachment to the email, you must enter some text to be displayed in the body of the message. If you wish to prevent the report from being sent if it contains no records, check “Only send schedule email if the report has data.” 6. The Notification tab lets you choose whether to receive an email verification when the schedule runs or fails. None: No notification Always: Notification when the schedule runs or fails On Error: Notification only if the schedule fails When you are finished, click SCHEDULE. A calendar icon next to the name of the saved report template indicates that it has an associated schedule. Edit a Schedule To edit a report schedule, click the MORE button and select SCHEDULE. Change any of the parameters and click SCHEDULE. The new schedule parameters will take effect the next time the schedule runs. If the associated Standard Report template is edited, the newest version will be used the next time the report is scheduled to run. Clone a Schedule Because each template may only be associated with one schedule, the Clone feature allows you to duplicate the desired template and schedule it for a different frequency and/or time, if necessary. 1. Click the MORE button next to the desired template and select CLONE. 2. Give the new template a name and, if desired, a description. Then click CLONE. 3. The new template will appear in the list of Saved Expense Analysis Reports. Follow the same steps to create its schedule. Delete a Schedule To delete the schedule associated with a standard report template, click the MORE button next to the desired template and select SCHEDULE. Click the DELETE button in the lower left corner. On the confirmation pop-up window, click DELETE. The template will remain but the schedule will be deleted. Was this article helpful? Yes No
