Chrome River INVOICE ANALYTICS Dashboard

The INVOICE Dashboard accessible via Chrome River ANALYTICS offers two views for quick, at-a-glance information regarding your top suppliers (by count of invoices received or by amount of invoices received) and basic volumes and trends of overall invoices received.

Click the MENU button in the upper left corner and then click ANALYTICS.

A new WebFOCUS Analytics Reporting window will pop up. Click on the INVOICE Dashboard tab. Use the radio buttons at the far left to toggle between data for Top Vendors and Invoice Analysis data.

Top Vendors

The Top Vendors view displays the vendors with the greatest volume of invoice data in a given time period.

The panel at the top allows you to change the parameters for the data that is displayed.

  • Dates: Use the drop-down to select a range: Last Month, This Month, Last Quarter, This Quarter, Last Year or Year to Date. You may also enter specific dates in the gray boxes.
  • By: Sort results by Create Date or Invoice Date.
  • Total By: Choose Amount to total the results by monetary value and Count to total results by number of invoices.
  • Top Vendors: Retrieve results for 5, 10 or 20 top vendors.
  • Status: View invoices by their status in Chrome River: Draft, Pending, Completed (a combination of all approved, exported and paid invoices) or Canceled.

The panel on the left displays data for the top 10 vendors in a pie chart. When you hover your cursor over each slice of the pie, it will lighten and you will be able to see the vendor name, the total monetary value of invoices from that vendor, and the percentage of total invoices accounted for by that vendor. Clicking on a slice will refresh the data in the Invoice Details Pane to display details of that slice. Note: Monetary values are calculated in the currency set for the entire organization, not the currency of the user viewing the dashboard.

The panel on the right displays detailed information about each invoice from that vendor. Click PDF/IMAGE to select whether you would like to view a PDF file of the invoice or the image attached to that invoice. If there is no image attached to the invoice, the image option will not be available.

Invoice Analysis

The Invoice Analysis view displays the total number of invoices received from all vendors over a given period of time.

The panel at the top allows you to change the parameters for the data that is displayed.

  • Dates: Use the drop-down to select a range: Last Month, This Month, Last Quarter, This Quarter, Last Year or Year to Date. You may also enter specific dates in the gray boxes.
  • By: Sort results by Create Date or Invoice Date.
  • Total By: Choose Amount to total the results by monetary value and Count to total results by number of invoices.
  • Status: View invoices by their status in Chrome River: Draft, Pending, Completed (a combination of all approved, exported and paid invoices) or Canceled.

The panel on the left displays data for the total number of invoices received within a specific period. When you hover your cursor over each bar, it will lighten and you will be able to see the total number of invoices received in that period and the percentage of total invoices accounted for by that period. If you have selected Amount in the top panel, you will see the total monetary amount of invoices received during that period and how much of the total monetary amount for all invoices in the date range they account for. Clicking on a bar will refresh the data in the Invoice Details pane to display details of that bar. Note: Monetary values are calculated in the currency set for the entire organization, not the currency of the user viewing the dashboard.

The panel on the right displays detailed information about the time period selected in the Invoice Totals By Date panel on the left. Click PDF/IMAGE to select whether you would like to view a PDF file of the invoice or the image attached to that invoice. If there is no image attached to the invoice, the image option will not be available.

Invoice Create Source Types

Chrome River's Ad Hoc reporting feature allows INVOICE users to filter and sort data by "Create Source," a code that indicates the method by which an invoice was created. Below are the Create Source codes:

  • UI: Invoice was created by a user clicking the NEW INVOICE button inside the Chrome River app.
  • EM: Invoice was created by a user emailing in a PDF.
  • RP: Invoice was created by a user faxing or scanning in an invoice with a cover page
